Crystal AI exists because I got tired of doing things manually.
I started as a solo consultant. I was writing proposals by hand, personalizing emails one at a time, updating status documents manually, writing code without real-time help, and generating content from scratch. I was working 60-hour weeks and still only taking on 3–4 clients at a time.
So I decided to automate everything I could about my own business. Not to cut corners—but to buy time for the work that matters: actually solving clients' problems.
I'm now running Crystal AI almost entirely on AI-powered automation. I'll walk you through what's automated, what isn't, and what I learned along the way.
The old way: A prospect asks about a project. I'd spend 3–4 hours interviewing them via Zoom, taking notes, then writing a custom proposal from scratch.
The new way: During the call, I take detailed notes. Afterward, I use Claude to draft a full proposal based on our conversation—scope, timeline, deliverables, pricing, the works. The draft is 80% done. I spend 30 minutes refining language, adjusting numbers, adding client-specific details.
Result: Same-quality proposal in 1 hour instead of 4. And the AI draft often catches details I'd forget (like mentioning integration testing or support after launch).
The key insight: AI is bad at starting from zero. It's exceptional at editing, improving, and customizing existing frameworks. My proposals are all personalized because I feed in conversation details—the AI just structures and polishes them.
Outreach at scale kills me. I could send 100 generic emails. But personalization is what gets responses.
So here's what I do: I run a script that pulls a list of target prospects (companies in my vertical, specific pain points). For each prospect, I use Claude to draft a personalized outreach email—mentioning their industry challenges, relevant wins I've had, something specific about them.
I spend 5 minutes manually reviewing each email. If it's good, it sends. If it's generic, I rewrite the prompt and regenerate.
Result: I send 30–40 truly personalized emails per week (I was sending 3 generic ones before). Response rate went from 2% to 4%. And it costs me 3 hours/week instead of 15.
The honest part: Some emails are better than others. But "good 80% of the time" beats "perfect 20% of the time" when you're trying to reach people.
Clients want updates. I used to write them manually for each client—recapping what happened, what's next, timelines, risks.
Now: I log completed work items as I finish them. At the end of each week, Claude pulls those items, structures them, and generates a client-formatted status report. I review it, add context and analysis, then send.
Result: Reports take 20 minutes instead of 60. And they're more consistent—nothing gets forgotten because it's all logged as I work.
The miss: Early versions were too robotic. Now I add 2–3 sentences of human narrative to each report. The AI handles structure and data; I handle storytelling and context.
I use Cursor and Claude Code for development. I describe what I want, get a first draft, test it, iterate.
On complex problems, I ask Claude to explain the approach before coding. On simple tasks, I ask for working code immediately. I'm not replacing my judgment—I'm replacing the typing.
Result: I write 3x more code in the same time. And paradoxically, the code is often better because I iterate more instead of coding in isolation.
The real win: I spend brain cycles on architecture and logic—the hard stuff—not syntax and boilerplate.
I used to stare at a blank page. Now I outline first, feed the outline to Claude, get a draft, edit heavily.
This blog post? I wrote a 200-word outline. Claude generated a first draft. I cut it by 40%, added specific examples, rewrote transitions, and fact-checked numbers. Took 2 hours instead of 4.
The pattern: First draft is 60–70% usable. The editing phase—making it sound like me, adding specificity, removing fluff—that's where I add value.
Client conversations. I take all calls. There's no AI that can understand what a client really needs by listening to their unstated frustrations. That's a human job.
Decision-making on trade-offs. Should we build this in 4 weeks quickly or 8 weeks with bulletproof architecture? That requires knowing the client's risk tolerance, their timeline pressure, their team's skill level. Pure judgment call.
Relationship maintenance. Checking in on past clients, remembering that someone mentioned a specific problem last month, following up thoughtfully. That's what keeps people coming back.
Complex technical design. AI can code from a spec. It can't design the spec when the problem is novel. That's architecture—that's me.
Sales conversations. The part where I listen, ask questions, and decide if we're actually a fit—or if I should refer them elsewhere. That credibility is worth more than volume.
1. AI drafts are 80% done; the last 20% is where your expertise lives.
My proposal templates work because I spent time perfecting what makes my proposals land. AI fills in the details. Same with code—I write the hard architectural decisions, AI writes the plumbing.
The mistake: Expecting AI to produce finished work. The reality: Expecting AI to produce a strong first draft that you then make excellent.
2. Automation needs a feedback loop to stay good.
Early on, my status reports were bland. Now they're useful because I review every one, note what's missing, adjust the prompt, and the next week is better. I'm not running set-and-forget automation. I'm iterating on the system.
3. The time saved compounds in unexpected ways.
I saved 15 hours/week on admin work. That didn't translate to "I'm 15 hours less tired." It translated to: I can take more clients. I can say yes to interesting projects. I can spend time mentoring other consultants (which I couldn't do before). The business grew differently than it would have without automation.
4. Automation exposes which work actually matters.
When I automated proposal drafting, I realized I didn't need 4 hours to write a proposal—I needed 30 minutes to think about what the client actually needs. Once that thinking was clear, writing was fast. Automation strips away the busywork and shows you what the real work is.
I didn't automate myself out of a job. I automated myself into a different job.
Instead of writing proposals, I'm thinking about proposal strategy. Instead of sending emails, I'm thinking about who to reach. Instead of logging hours, I'm thinking about what's working and what isn't.
Am I working less? No. Am I working better? Yes.
